Terms & Conditions and Important Information

• Min length of stay: 4 weeks – The provider can make an exception for a short stay if the student’s course is under 4 weeks
• Arrival time: please keep in mind the arrival time to the homestay should be a reasonable hour that would suit a family environment
• Late check-out: For any student's departure flight after 1pm, a compulsory late check out fee per student applies. 
• Airport pick up and drop off service: mandatory unless written confirmation from a parent or guardian is given
• Optional Unaccompanied Minor Service ADO includes step-by-step departure assistance by the driver. This service covers Airport drop-off, check-in assistance, and wait time until the flight departs from the airport. Please note an extra fee may apply if there is a flight delay 
• To apply for a twin room - two students must arrive together
• Special requests: must be on the application form (please note we cannot guarantee the request, however, our providers will do their best to accommodate)
• Allergies: must be on the application form – If we are notified two weeks or less before arrival – a fee may apply
• Late booking request: any booking that is requested 2 weeks or less before the check-in date will incur a $250 fee
• Placement confirmation is sent 1 week before check in on average. During busy periods such as JHP season, start of year / end of year - it is usually 5 - 7 days on average however there may be further delays in some cases.
•  Please expect delays for some JHP profiles - not only because of busy JHP season but also late requests and reasons beyond our control are some other contributing factors for delays. Please check in with accommodation team for updates
• All homestay requests include accommodation and caregiving service
• Please note: No VIP room option is available for U18

Confirmation of Appropriate Accommodation and Welfare (CAAW)

If U18 student apply under a student visa:  The parent can notify the school if the student requires a CAAW.​

If a student requests the Parent Nomination Guardian Service:​

The Parent Nomination Guardian Service process can take up to 4 weeks.

All under 18 students must have a nominated guardian and declared under Australian regulations.​

F) An inspection of the nominated guardian's accommodation is required.​

G) Issuance of CAAW is subjected to Inspection Approval Result if the accommodation and welfare.

• At least 6 weeks’ notice is required for homestay requests and payment is required within 5 business days to secure the room.
• If a request is sent within 4 – 6 weeks before arrival, payment is required within 4 business days to secure the room.
• If a request is sent within 2 – 4 weeks before arrival, the Accommodation Team will need to check availability. Once availability is confirmed, payment is required within 3 business days to secure the room.
• We do not accept requests under 2 weeks' notice - we can make an exception for VIP agencies or extremely urgent situations only. For notice under 2 weeks - once availability is confirmed, payment is required within 48 hours to secure the room.

• Prices are subject to change and accommodation is subject to availability 
• Accommodation price includes caregiving service 
• Curfew time: The curfew time for under 18 students is 7pm. For JHP students it is 5.30pm. Students must be back at the homestay at this time. If they are running late, they must call or text the host to let them know.
• Payment is due at least 4 - 6 weeks prior to the student's arrival
• Placement confirmation sent after receipt of full payment and confirmation of arrival flight details
• Cancellation fees apply and are subject to provider policies. The final decision of the total fees charged is decided by the accommodation provider, not IH Sydney Training Services. For any urgent cases, the cancellation fees will be assessed on a case-by-case basis.
• At least 2 weeks' notice applies for canceling or moving homestay - when moving homestay, if the reason is not urgent a new placement fee also applies. If the student is to move earlier than 2 weeks - any extra days will need to be paid to the new host. A new homestay is subject to availability at time of request. 
• If we receive a cancellation request with under 2 weeks' notice - the fee charged is determined by the provider - usually 2 weeks minimum is taken with placement fee. Urgent cases are assessed on a case-by-case basis. 
• A compulsory late checkout fee applies if the students flight is after 1pm
• Prices may vary if a special diet is required
• For visa delays - we require at least 2 weeks' notice - for any last-minute notice under 2 weeks - additional fee may apply (it is subject to provider policy) 
• For visa refusal - placement fee is non refundable if booking is already made with the provider (please see below for timeframe) - any other fees charged are subject to the provider 
• Please note IH booking/placement fee $470 is non refundable for the following cases:
  -If a booking has to be made within a specific timeframe due to the room being on hold
  -If a booking is made 6 weeks or less before check in
  -If a booking has to be made well in advance due to specific reasons e.g., special requests, JHP, VIP, tour groups, peak months, limited availability etc.
